The International Healthcare Stakeholder Engagement (HCSE) Business Coordinator is responsible for managing all aspects of logistics related to healthcare professional faculty involved in our professional educational events. The primary focus is to ensure seamless coordination, efficient travel arrangements, timely payments, and compliance with all contractual obligations in International, including the distributor markets. Essential Functions and Responsibilities Management of logistics for International HCPs faculties attending Professional Education events, including but not limited to; Engage and interact with contracted HCPs to arrange travel and ensure minimum disruption Create and amend purchase order requests, manage expense reports, update and track costs Collect post-event need assessment forms Manages Monthly budget reconciliation Compliance and Record Keeping: Maintain accurate records and documentation related to faculty logistics, contracts, and payments. Ensure compliance with all relevant laws, regulations, and industry guidelines and applicable disclosure requirements Insure maintenance and updates, collaborate for the development of new features and provide support for all company systems related to profession education events management Monitor and track faculty-related expenses to ensure adherence to approved budgets Administrative support for HCSE Events Book Logistic on site: meeting venue, taxis, hotels and restaurants Create and amend Purchase Order requests for HCSE events Complete Expenses report for each of the above expenses Manages Monthly budget reconciliation for HCSE events Administrative Support to the Department including but not limited to; Create and amend purchase order requests, change requests, OPEX Manage contract and interactions with external vendors for the department PRC submission of external communication Create new vendor and partner with procurement department Back up to Customer Events Manager for all contract and logistics tasks and processes Education / Experience / Skills: Bachelor’s degree in healthcare administration, business, or a related field is preferred. Min. 2 years’ experience in commercial or sales support/coordination role, preferably in a regulated international environment Highly efficient in using MS Office Package: Proficient Excel skills are a must (i.e. formulas, pivot tables, slicers are a requirement) High attention to detail Excellent organizational skills Strong written and verbal communication and presentation skills in an international environment Able to work with minimal supervision Able to work towards tight deadlines and manage ambiguity Ability and willingness to use and learn multiple customized IT tools Fluent in an additional European language (e.g. German) is a strong plus Organizational Relationship/Scope: The International HCSE Business Coordinator works closely with the International Sales Team, Market Access Team, Marketing, Medical Department and their Business Coordinators as well as with supporting functions like Finance, Procurement, Accounts Payable, Compliance and Legal. This position reports to the Senior Director International Healthcare Stakeholder Engagement and has no direct reports. Working Conditions: The location is either office based (UK, currently in our Staines offices) or remote working with the ability to attend the UK office for e.g. training and meeting purposes as required. Can be worked remotely from UK, Ireland, Germany, France or Italy. Occasional international travel required up to 20%.
