The Associate Director will serve as a key member of the Development Solution Design team within the Villanova Office of University Advancement. Through their work, the team builds bridges and promotes productive, collaborative relationships across Advancement and campus wide. The team serves as agents of change – making space for strategic thinking, turning new ideas and approaches into executable programs, and supporting Advancement through ongoing changes in organization, processes, procedures, and technologies while enabling other teams to focus on day-to-day responsibilities.

Under the supervision of the Director, Development Solution Design, the Associate Director will be responsible for providing key support and strategy development for specific projects that elevate Villanova’s advancement and alumni engagement operations and infrastructure using innovative new practices, capacity building, calculated risk-taking, and the application of data-driven strategies that enable continuous growth. The incumbent will work closely with teams across Advancement to coordinate process improvement, leveraging existing resources where possible, evaluating new technology where needed, and providing project management for new implementations and process improvements.

This position will partner with the Director of CRM Operations to ensure existing and new UA technology integrates with Salesforce CRM to improve data collection and analysis. The Associate Director will also have primary responsibility for oversight and maintenance of onsite technology in Riley Hall, providing day-to-day consultation, training, troubleshooting, and problem solving for conference room equipment, digital displays, and employee workstations (hardware and software.)

The successful candidate will be an independent worker and strategic thinker with a strong background in project management and a passion for innovative problem solving, learning new skills, and efficiency.

Duties and Responsibilities:

  • Work with various UA teams to define challenges, conceive and implement solutions, and analyze results. Serve as conduit between UA teams to streamline procedures and eliminate duplicative efforts. Discover opportunities for automation and implement continuous improvement of Advancement systems and structures to maximize coordination and productivity, enhance communication, and promote staff collaboration. Includes collaborating with the Director of CRM Operations to leverage third party integrations with Salesforce to increase transparency and availability of data for end-users.
  • Provide crucial technology support and training to the University Advancement team and ensure smooth operation of day-to-day activities as well as enabling continuous improvement and collaboration across Advancement. Identify needs for, generate, and distribute resources (training videos, documentation, FAQs) to colleagues to build awareness and adoption of available technologies and new processes. Document and escalate issues to University IT ( UNIT ) as needed and represent Advancement’s technology needs. Collaborate with UNIT on maintenance and updates, consult, train, and problem solve for onsite technologies.
  • In collaboration with the Director, Development Solution Design, coordinate campus partners on initiatives to improve efficiency, control, and oversight of data integrations, definitions, collection, management, and sharing.
  • Oversee troubleshooting and maintenance of onsite technology in Riley Hall, including conference room equipment, digital displays, and employee workstations (hardware and software.) Includes initial training for new employees.
  • Maintain thorough knowledge of current and emerging technologies in use on campus and in the education sector.
  • Perform additional duties and assist with special projects as assigned.

Minimum Qualifications:

  • Bachelor’s degree required.
  • Minimum 4-6 years’ experience in IT and/or technology project management.
  • Ability to manage and prioritize multiple projects effectively and to communicate results in a timely and accurate manner.
  • Enthusiasm for creative problem-solving and learning new skills a must.
  • Facility with technology, ability to quickly learn new systems independently.
  • Proficiency with Microsoft 365 suite, Zoom and video conferencing hardware, and relational databases.
  • Ability to work independently and communicate effectively to managers and co-workers.
  • Creative problem solving and project management.
  • Attention to detail.
  • The ability to pick up and learn general concepts and technologies quickly and independently.
  • Ability to work on multiple projects with concurrent deadlines.
  • Ability to work in a fast-paced environment while producing accurate results.
  • PC Hardware & Software packages, with emphasis on Microsoft 365, Zoom, Teams and other video conferencing technologies.
  • Familiarity with Salesforce or similar database.

Preferred Qualifications:

  • Direct experience with Banner and Salesforce a plus.
  • Experience with training and/or tech support a plus.
