Jobs within SimCorp Italiana General Services & Facility Management are responsible for ensuring office organizational effectiveness and efficiency. General Services – Manage the day-by-day affairs and overall maintenance of the office, ensuring timely resolution to inefficiencies. Facility Management – responsible for the good conservation of the Milano’s premises condition Fleet Management – responsible for the correct application of the car policy and the relationship with the provider Meeting&Event management – supporting in the organization of events Health&Safety – supporting in the H&S compliance TASKS/RESPONSIBILITIES General Services Ensuring that the office environment operates smoothly, granting that office areas are kept efficient, clean and tidy Overseeing office equipment and facilities, ordering of supplies e.g. stationery, kitchen and beverages Researching, selecting, contacting and managing General Services suppliers Managing correspondence with suppliers and other external stakeholders Guaranteeing the quality of the services provided on the office and proposing improvements Collaborating with relevant stakeholder to create and implement new standard office policies and procedures (if needed) Managing the provisioning of the home office furniture to the employees requiring it Facility Management Supervising and securing the maintenance of all the Italian buildings where the company operates (currently Milan, Trieste, Pistoia) Supervising and coordinating the service suppliers’ activities Being responsible for office security Organizing office logistic Supporting Office business continuity plan Fleet Management Contributing to the research, and selection, of a proper provider Day by day managing the relationship with the selected fleet management provider Reviewing periodically the car policy content with the relevant stakeholders Being point of contact/ reference for employees Liaising with payroll to correctly process applicable payslip items Meeting / Event management Room set-up prior and post meetings; keep rooms clean and tidy; set up video conferencing and other AV meetings Assisting on internal events – venue bookings, invitations and other logistics Assisting sales & marketing teams on external client events Health&Safety Organizing the recurring HSE meetings with the relevant stakeholders Supporting the organization of the recurring mandatory HSE trainings Ensuring that first aid kits in the offices are available and up to date Keeping the evacuation plans updated and the emergency contact lists available and displayed Watch the fire safety measures and evacuation exercises Ensuring a proper access to security equipment Ensuring a global and yearly maintenance of security equipment Raising security breaches and risky cases on the offices STRATEGIC SKILLS Effective communication and interpersonal skills Proactive and creative problem solver who is able to take responsibility and operate with a minimum of direct supervision Strong organizational skills, able to prioritize tasks Good knowledge of Microsoft Office Fluent in English and Italian, both spoken and written J-18808-Ljbffr
