POSITION TITLE: Lead Logistic Administrator FUNCTION: Logistic REPORTS TO: Operations Manager POSITION SUMMARY: The Lead Logistics Administrator is a key member of the Operations team, accountable for the execution of shipping, planning, coordinating, administration, monitoring the distribution of company finished goods. You will facilitate the smooth running of the department with your excellent customer service skills, as well as the ability to multi-task and work well under pressure. PRINCIPAL ACTIVITIES: Managing booking requests for shipments in accordance with manufacturing/sales schedules including managing of daily communication between customers and freight forwarders for shipment’s tracking of finished goods, spare parts and returned goods. Managing warehouse shipping calendars and bookings for pick-up dates for FCL’s (full container loads), shipping of packages or groupages via cargo trucks, ocean or air freights. Management of billing and delivery notes including issuing of delivery notes, invoices, packing lists, and declarations for EU and non-EU shipments as well as registration of credit notes in accordance with Finance’s input. Managing Customs clearance for inbound/outbound shipments including the management of Customs bills of entry registration, POD’s registration (proof of delivery), VGM (Verified Gross Mass) forms and fulfillment of internal company registers (e.g., Custom’s notes register). Supporting inter department communications between Purchasing, GSM (Global supply chain), Finance and Sales team members for logistic related topics e.g., providing statistics for air/Ocean freight, negotiating of quotations, month-end turnover verification- etc. Collaborate with managers to develop the company’s goals and objectives and verifying corresponding KPI metrics status. DESIRED PROFILE: From 3 to 5 years of experience in administration of logistics for international shipments of finished products. Experience in mid-low volume, mid-complexity product manufacturing environment. Knowledge of incoterms and related goods and shipments management. Good IT proficiency, experienced with MS office, ERP systems. EDUCATION & EXPERIENCE: Third level qualification desirable. Full working proficiency in English and Italian languages. BEHAVIORAL COMPETENCIES: Experience in working within a matrix organization of multi-disciplinary teams. Strong Customer services attitude. Analytical mindset with focus on details and result-oriented approach. Self-starter with the capability to show drive, resilience, and ability to take initiative in a demanding environment. Excellent interpersonal, written & verbal communication skills with the ability to communicate confidently at all levels. Diligent individual, taking ownership of all duties of the role from start to completion, well organized with excellent attention to detail.
