Venice Arts seeks a full-time Program Operations Coordinator. Working under the Director of Education the Program Operations Coordinator assures the efficient and effective operations of all programs, including Art Mentoring Education (AMP), Creative Pathways (CP), and the Film Digital Media (FDM) Pathways Pilot. Responsibilities range from youth outreach and relationship building with partners, to managing all enrollment and retention, and direct-to-youth and parent communications. The Program Operations Coordinator is a member of the Program Team and supervises the Program Assistant, as well as interns and volunteers placed in the program office. As the majority of Venice Arts’ families are Spanish-speaking, this position requires that applicants be bilingual, bicultural preferred. AREAS OF RESPONSIBILITY Youth & Family Outreach ● Update and maintain both the AMP and FDM Outreach and Communications calendar, with key dates for outreach and youth enrollment prior to each term ● Develop and oversee outreach strategies across all programs ● Build partnerships with referring organizations including human services; secondary and post- secondary education; workforce development; foster, homeless, and criminal justice ● Present at schools and other youth organizations, or coordinate presentations by appropriate staff Program Communications ● Design and implement e- and/or Remind-communications to update current students, parents, and/or alumni regarding program opportunities ● Coordinate with the Development and Communications Associate to assure the creation and implementation of external program communications ● Assure the timely update, and coordinate the digital/physical distribution of the Art Mentoring Program (AMP) brochure ● Assure translation (English-Spanish) and proofing of all relevant communications Youth Enrollment ● Act as the primary point of contact for youth and families, helping them to determine the best pathway for their learning and/or creative development ● Oversee all facets of digital and physical program enrollment, including teen enrollment in the Creative Pathways programs and the maintenance of all student files ● Track student attendance and retention, communicating regular absences, or other concerns, to the Director of Education and discussing with parents or partners, as directed Artist, Mentor, Intern Recruitment ● Oversee the recruitment process for seasonal staff, including faculty, mentors, and interns ● Coordinate relationships and documentation with Colleges that have placed students ● Work with the Director of Education (DE) to design and deliver training for all teaching artists on media management, attendance protocols, and related program practices Program Operations & Office Management ● Master office processes and protocols for all programs including, but not limited to fileserver, database, media management, and equipment inventory/check-out ● Onboard, train, and supervise the Program Assistant, as well as Interns assigned to the office ● Assure the timely purchase of program materials, the expenditures are within budget, and that all classes have needed equipment, materials, set-up, and other needed support ● Coordinate field trips permissions, special workshops, and program-related events Evaluation ● Calendar timely reminders to staff to review and revise program-based evaluations ● Generate accurate survey, attendance, retention, and demographic data reports, the latter at least quarterly, and deliver to the DE and Director of Grants for analysis ● Track student opportunities, applications, and summarize outcome data QUALIFICATIONS Venice Arts seeks an individual experienced in program coordination and highly proficient at managing the day-to-day tasks of an office. Candidate is exceptionally well-organized and detail-oriented and able to handle multiple priorities and responsibilities with grace. Bachelor’s degree preferred, but not required. Must demonstrate at least two-years-experience in a similar position, graduating levels of responsibility preferred. Must have a high level of technical proficiency and have the ability to problem solve. Must show advanced proficiency with the Apple platform, Microsoft Office, and Google Suite. Familiarity with database software required, Filemaker Pro preferred, as is knowledge of how to pull reports. Experience with Adobe Creative Cloud a strong plus. The ideal candidate is an artist with business acumen, experienced in photography, filmmaking, animation, and/or sequential art and/or creative youth development programs. As this position interacts regularly with mono–lingual, Spanish–speaking families, candidates must be fully bilingual Spanish-English, bicultural preferred, and must have excellent verbal and written communication skills in English and Spanish. SALARY AND BENEFITS This is an hourly (non-exempt), full-time (40 hours/week) position starting at $18-$20 per hour, based on experience. Benefits include medical and dental, 10 days accrued vacation, and 8 days accrued sick time, all of which are available after successful completion of an initial, 90-day period. Full-time staff also receive 12 paid holidays and the opportunity to contribute to a 401(k). Standard hours while programs are active, are Tuesday-Friday, 10am to 6:30pm, Saturdays, 9-5:30, inclusive of a 30-minute lunch. Occasional evenings will be required.
