PLEASE ENSURE YOU APPLY WITH AN ENGLISH CV No Agencies General Description: The Project Manager Congresses & Events, reporting to the Associate Director Customer Engagement, will be responsible for the congress and event activities, planning and execution of congress activities and activities for specific business units within the organization. In addition, this role will drive the tools and capabilities within Italy that support the management of all attendees and HCP engagement, also collaborating with Regulatory and Compliance department for the implementation and management of Sunshine Act related activities. Essential Functions of the job: Collaborate with the departments within Italy to get an in-depth understanding of their business needs and objectives and execute strategy into successful events. Planning of event budget in close collaboration with Associate Director, Customer Engagement and initiation of a kick-off planning meeting with all relevant departments within Italy for future congresses and relevant functions. Manage relationships, contract and price negotiations with vendors, providers, scientific organization and negotiation and agreements of BeiGene Italy sponsorships/guests. Manage events and congresses budget, ensuring accurate and timely reporting. Coordinate all stakeholders internally and externally to ensure delivery of all congress activity on time, on budget and in accordance with legal, regulatory and compliance requirements. Cooperate closely with the Commercial and Medical Team regarding the execution of national congresses (e.g. booth building, satellite Symposia; meeting rooms onsite). Selection and management of congress and event agencies that effectively address the units needs Ensure onsite management and oversight for congresses and events Support the Associate Director Customer Engagement with planning and rolling out a congress and communication tool. Maintain oversight of core congress and event documentation. Forge strong team-oriented working relationship with the Global congress department and the European Congress departments. Manage all logistical aspects of Commercial meetings and national and international events (hotel, travel, restaurants.) as well as manage Hospitals authorizations for guests. Work closely with marketing department for the organization of standalone and events. Manage and follow-up sponsorships with congress organizers/providers. Follow-up of local congress logistics as well as organization of the delivery and recovery of equipment on the stands in collaboration with medical, sales, marketing and access teams. Organize the logistics of all commercial internal events with seamless execution: Cycle meetings, commercial team retreats and meetings, commercial trainings. Initiate, manage, and monitor the financial and regulatory approval process, AIFA requirements on time. Be responsible submission of congress application to Italian Authorities on AIFA website and management of any additional information required by AIFA. Be responsible for the administrative tasks such as: invoice check, forms related to transparency and Sunshine Act, among others, registering final costs in the Agenzia Italiana del Farmaco portal internally or managing external vendor according to BeiGene Company procedure. Support for the management and processing of event invoices (payment and follow- up, final balance). Update congress and events stock (modular stand, roll-ups, etc.). Qualifications: Undergraduate degree in business, informatics, economics, biological or medical sciences preferred. At least 5 years of industry experience A minimum of 5 years of pharmaceutical industry or related experience in managing pharmaceutical congresses. Detailed knowledge of policies, structures and processes related to congress and events organization Experience in virtual congress planning and execution Knowledge of tools and regulations regarding meetings/travel Demonstrated project management skills with the ability to manage multiple projects simultaneously. Demonstrated ability in establishing and cultivating effective internal working relationship with multi-layer, cross-functional counterparts across geographies (from HQ in USA to countries throughout International) Proven ability to successfully engage with internal/external key stakeholders, creating alignment horizontally and vertically Excellent interpersonal, oral and written communication skills Good understanding of different cultures (both business as well as country) and demonstrates an appreciation of cultural diversity, with sensitivity to differences in attitudes and norms Entrepreneurial and innovative of spirit Ability to manage complexity, ambiguity and paradoxes Fluent in English; other languages advantageous Computer Skills: PC, MS Office Suite, any Congress Management tool of advantage Other Qualifications: Fluent in English, any other major European language of advantage Travel: 20% Competencies: Ethics – Treats people with respect; Inspires the trust of others; Works with integrity and ethically; Upholds organizational values.
