Purpose of the job:

The General Services & Admin Support manages a multitude of tasks related to general services and team assistance. The person will perform clerical services, logistical support, and other related duties in accordance with day-to-day requirements.

Summary of responsibilities:

  • Performing basic and general clerical tasks (reception, email and post correspondence, phone calls, record keeping).
  • Managing relationships with the cleaning company (e.g., organising ordinary and extraordinary interventions).
  • Ordering and organising welcome kits and gadgets for new hires and events.
  • Ensuring meeting rooms are ready for use and fully equipped.
  • Ensuring the functioning of vending machines and dealing with the vendors.
  • Storing and distributing stationery and stocks of office.
  • May act as courier in the pickup and delivery of documents, materials, equipment, supplies.
  • Support expats with their relocation requirements (housing, documentation, etc.).
  • Arrange travels (hotel bookings, flights) as requested.
  • Assisting in the organisation of different company events.
  • Support in translations from English to Italian and vice versa.

Education & Experience:

  • High School Diploma or equivalent.
  • 1/2 years job-related experience (esp. as an administrative assistant or clerk).

Technical Skills & Knowledge Required:

  • Experience in clerical tasks.
  • Good knowledge of PC tools.

Behavioral Competences Required:

  • Ability to make independent decisions and judgements on routine procedural issues.
  • Ability to maintain and control equipment, materials, and supplies.
  • A support-oriented personality with strong interpersonal and communication skills.
  • Ability to work effectively both in a team environment and independently.
  • Problem solver attitude.
  • Adaptability in changing environments.

Language Requirements:

  • A high level of spoken and written English is a must.

Other Requirements:

  • Driving license (B).
